Synchronize Project Tasks with Outlook Calendar

In InLoox, you can synchronize project tasks with your Outlook calendar. The synchronization is bidirectional, provided that the corresponding permissions are enabled.

Prerequisites:

  • Connection with Microsoft 365 is enabled.
  • Permission Changes to InLoox tasks update calendar entries is enabled. This ensures that changes to InLoox tasks are synchronized with the calendar entries.

Optional:

  • Permission Changes to calendar entries update the InLoox task is enabled. This ensures that changes to calendar entries are synchronized with InLoox tasks.

File and synchronize a project task in the calendar

With the controller File and synchronize task in calendar, you can create an Outlook calendar entry from a project task and keep changes to the task’s start, end, and name synchronized in the Outlook calendar.

  1. Open a project task in InLoox, either in Workplace or in a project under Tasks.
  2. At the top of the task, activate the controller File and synchronize task in calendar next to the calendar icon. The InLoox project task is transferred to the Outlook calendar as an appointment.

  3. From that point on, changes to the start date, end date, and name of the project task are automatically updated in the calendar. If the optional permission for reverse synchronization is enabled, changes made in the calendar are also applied to the InLoox task.

PLEASE NOTE

  • Changes to the task description are not synchronized.
  • If the project task is assigned to an activity in the Gantt chart and receives its start and end dates from that activity, this may result in very long time periods in the calendar entry. In this case, check the task’s dates before enabling synchronization.
