    The Integration Center opens.
  2. Click Connect with Microsoft 365.

Show your Outlook inbox in InLoox

Permission: Read emails

When you grant this permission, your Outlook inbox is displayed in InLoox. This allows you to work with your emails directly in InLoox and:

  • convert emails into InLoox tasks
  • save emails and attachments as project documents in InLoox

For more information, see the help article Email Tracking in InLoox Web App.

Automatically transfer emails from the same conversation to a project

Permission: Read emails

When you grant this permission, all future incoming and outgoing emails from the same conversation are automatically assigned to the project. InLoox stores them as .eml files in the project’s Documents section in the folder Emails. This allows you to review project-related email conversations directly in InLoox.

For more information, see the help article on Emails in Documents in InLoox Web App.

Create tasks from flagged emails

Permission: Read emails

When you grant this permission and flag an email in your inbox, InLoox automatically creates a task from that email. To do so, simply click the flag icon on an email in Microsoft Outlook. This makes it easy to work through your inbox and create personal InLoox tasks with just one click.

If you want to turn these personal tasks into project tasks, go to the Workplace section in InLoox Web App and assign them to a project.

For more information, see the help article on the Workplace section in InLoox Web App.

Synchronize email flags between InLoox and Outlook

Permission: Write emails

When you grant permission to update email flags, InLoox keeps this information synchronized with Outlook. Whenever you mark a task as Done in InLoox (if that task was created by flagging an email in Outlook), the corresponding email is also marked as Done in Outlook. This reduces duplicate work and keeps your inbox and InLoox tasks in sync.

For more information on editing tasks, see the help article Tasks in the InLoox Web App.

Use Outlook calendar for time tracking

Permission: Read calendar

When you grant this permission, you can track Outlook calendar entries as working time in InLoox and assign them to projects and project tasks. This simplifies project time tracking and helps ensure that billable hours are recorded correctly.

For more information, see the help article on Time tracking in the InLoox Web App.

Mark appointments with category after booking

Permission: Write calendar

When you grant this permission, InLoox automatically assigns the InLoox category to calendar entries after you book them as time tracking entries. This category helps you identify appointments that have already been logged in InLoox and prevents you from booking the same entry twice.

For more information, see the help article on time tracking in InLoox Web App.

Changes to InLoox tasks update calendar entries

Permission: Write calendar

When you grant this permission, changes made to InLoox tasks that were created from Outlook calendar entries are automatically synchronized with the corresponding calendar entries. This ensures that the name, start and end dates, and times stay up to date and saves you from having to update your Outlook calendar manually.

Please note: If a task's start/end dates and times are derived from the assigned planning activity, the task will span the entire planning period in the calendar when synchronized.

Changes to calendar entries update the InLoox task

Permission: Read calendar, Write calendar

When you grant these permissions, changes made to calendar entries are synchronized with the corresponding InLoox tasks. This ensures that the name, start and end dates, and times of InLoox tasks created from calendar entries stay up to date and eliminates the need to update them manually in InLoox.

Use SharePoint or Teams for document management

Permission: Read files, Write files

When you grant these permissions, documents can be stored on your company’s SharePoint site or in Microsoft Teams. When you attach a file to an InLoox item—such as a task or a time entry—InLoox will first prompt you to initialize the SharePoint connection in order to create the required folder structure. Once this is set up, folders and documents can be kept synchronized between InLoox and SharePoint.

Notes: To set up the integration between InLoox and SharePoint Online, you need InLoox administrator permissions as well as administrator permissions for your company’s SharePoint Online. This permission cannot be revoked in the InLoox Integration Center as the integration with Microsoft SharePoint is set by the InLoox Admin for the whole account and can only be severed or changed for the whole InLoox Account by the InLoox Admin.

Activate full access to SharePoint libraries

Permission: Manage SharePoint libraries

When you grant this permission, a SharePoint library will be automatically created based on the rules as defined in the InLoox settings for your account.

Note: This requires you to first grant the permission to use SharePoint Online or Teams for document storage.
