Open and edit SharePoint files online / in local app
Upload file
The quickest way to upload a new file is via drag and drop. You can do this either in the Documents section or directly in a task.
Upload file under Documents:
- You are in a project and have selected the Documents tab.
- First select the folder in the tree structure on the left in which the file is to be uploaded.
- Then simply drag the desired document into the field with the mouse pointer.
- Alternatively, you can also click on the Upload file button. Now select the file you want to upload and click on Open.
- The file is now saved in InLoox Web App.
NOTE The virtual folder All Documents displays every document from the subfolders. The “Folder Name” column can be displayed for a better overview, and you can group by it in Advanced Mode, just like any other column. For more details, see the help article on InLoox list views.
Upload file in a task:
- You are in a project and have opened a task.
- In the task, you will find the field Add documents....
- You now have two options:

Link an already uploaded document: Click on Add documents... to display the documents already uploaded to the project including their storage location (=folder) in the dropdown. Simply click on the document to add it to the task.
Tip To find the desired document more quickly in the dropdown, you can also search for the document name or the folder in which the desired document is located (simply start typing).
- Upload a new document: Simply drag and drop the desired document onto the task. Alternatively, you can also click on Upload Document. Now select the file you want to upload and click on Open.
- The file is now stored in the task. The file is also stored in the project documents in the main folder.

If you click on the file, you will immediately see the preview on the right-hand side.
You can give the file a description, enter a status, fill in your own fields (only in InLoox Enterprise and InLoox On-Prem) and leave comments on the document.
Edit file
In the list of documents, you can see three vertical dots to the right of the file name. Here you have the following options:
- Open - opens the side window with further details about the document.
- Open in app - opens the document in the corresponding app, e.g., an Excel file in Excel. For details, see: Open and edit SharePoint documents - online or in a local app
- Open folder - opens the folder on SharePoint or File Share (InLoox On-Prem) where the file is located. For details, see: Open folder
- Download
- Rename
- Move to another InLoox folder (alternatively, you can also move documents to other folders using drag and drop)
- Replace (deletes the old document and replaces it with the new document)
- Delete - InLoox asks you again if you really want to delete the file. You must confirm by clicking Delete.
Add or edit document details in the side panel
You can also edit the details of the document via the side panel. Open the document by double-clicking it. In the side panel, you can:
- Change the name.
- Add a description
- Enter the status (free text field)
- Linked items: You can link the document to other relevant items from the current or other projects in InLoox, such as tasks, lists, mind map nodes, time entries, budgets, or planning items. The link is bidirectional, so you can jump directly to the linked content at any time.
- Custom fields: If these have been created in the document settings, you will see additional fields that you can maintain.
- Activities: Here you can see what changes have been made to the document, such as when it was added, when the name was changed, and by whom.
- Comments: Here you can enter notes or instructions, for example, and even notify people in your team directly using @+Person.
Open and edit SharePoint files online / in local app
NEW since version 11.10: Open SharePoint documents online
If you have set up a SharePoint connection in the InLoox settings, you can open and edit MS Office documents such as Word, PowerPoint and Excel directly from InLoox in SharePoint:
- Click on a file and then on the pen icon.

The document opens directly in SharePoint and can be edited immediately.
Note This works both in the Documents area and directly in a task.
NEW since version 11.13: Open SharePoint documents in local app
In addition to opening your SharePoint documents online, you can now also open and edit them in the local app. This new function applies to both cloud and on-premise installations.
Note The prerequisite for this is that the project folder is synchronized locally with Microsoft OneDrive.
