Global resource overview

We are happy to present you the latest feature in InLoox Web App: the global resource overview. With this feature, you can create teams and check the workload of team members at a glance.

InLoox uses an individual working time calendar for this purpose. This allows team members to enter their availabilities as well as weekends, holidays and personal absences such as vacation. In combination with the already assigned project tasks and their effort estimation, the capacity of each person is then calculated. Based on this, you can make an effective resource planning, avoiding overloads and bottlenecks.

Financials in InLoox Web App

Manage your financials from now on in InLoox Web App and view a list of planned expenses as well as tracked expenses with just one click. InLoox creates this list based on groups with purchase and sales prices, estimated effort of project tasks and booked time expenditures. InLoox also calculates the planned and tracked revenues automatically, while of course you can create manual expense and revenue line items.

Project planning in InLoox Web App

With the second development stage of project planning in InLoox Web App, you can create, link and edit planning elements. The new InLoox project planning on the web comes with an intelligent analysis of the planning chain: You will not only be notified if there are conflicts in your planning. InLoox resolves the conflict on its own, if possible, and explains what was done in a notification window. Is it AI? No, just cleverly programmed based on over 20 years of project planning know-how.

Quicktrack of emails in InLoox Web App

The second development stage of the "Quicktrack" feature is now available! From now on, you can not only book Outlook calendar entries directly to projects in InLoox Web App, but also read emails from your inbox and save them to projects.

The integration of Outlook in InLoox Web App has already made it possible to seamlessly transfer calendar entries to the time tracking of your projects (see What's new 11.2 »). With the latest release, we go one step further and allow you to access your emails directly in the Web App.

Thanks to this extension, you can now read emails from your Outlook inbox in InLoox Web App. This means that you no longer have to switch back and forth between different apps to access important information. In addition, the new feature offers you the possibility to save emails and/or attachments from your messages in projects. This makes it much easier to document and track project communications. You can attach relevant emails or appendices to a specific project to create a central repository for all project-specific information.

Improved email notifications

Overdue tasks / Tasks due today / Upcoming tasks

With the latest release, we offer you enhanced email notifications for tasks where you are assigned as a resource. This helps you to keep track and better organize your tasks in terms of time. The improved notifications include:

  • Reminders about tasks starting today: You will receive a notification about tasks that are starting that day. This message will be sent every morning at 6 AM. This way you start your workday with all relevant information.
  • Reminders about tasks due today: You will be reminded in time of tasks whose deadline is coming that day and which you already have in progress. This allows you to keep track of important deadlines and react in time.
  • Reminders of overdue tasks: If you have not completed a task on time and the deadline has been missed, you will receive a reminder. This allows you to take immediate action to complete the task and avoid delays.

These enhanced notifications help you manage your tasks effectively and complete them on time. Keep track of upcoming, due, and overdue tasks and streamline your workflow.

Tip You can customize whether and which of these notifications about tasks you want to receive in your personal settings.

Large amounts of notifications for a project are summarized

As much information as necessary and as little as possible - that's our motto when it comes to email notifications. That's why, from now on, larger quantities of notifications for one project and of the same type will be combined in one email.
Imagine you are creating a large planning with 20 different activities. Instead of explicitly listing each individual activity created in the email notification, now only the number is displayed. The summary comes into play as soon as there are 8 or more changes about items of the same type in a project. This gives you all the relevant information in a compact form while still maintaining full control.

  

Outlook settings

Improved labeling of Outlook elements in interaction with InLoox

Optimize the interaction between InLoox and Outlook by using our new Outlook Settings. You can find them now in the Account Settings under Organization:

  • Add a new category to the Outlook item: For example, if you save an email in a project, you can now set a custom category. This way all saved emails will automatically get the defined category, which gives you a better overview.
  • Activate prefix when tracking time from outlook calendar entries: As you know, you can book appointments from the Outlook calendar to projects and use them as time tracking entries. What's new is that you can additionally display a prefix of your choice in front of the subject of the appointment, once the appointment has been tracked as a time entry. For example, a useful prefix might be "Tracked:". This allows you to see immediately in the calendar which appointments have already been tracked and which have not.

Invitations can be sent again

As you probably know, you can invite people to InLoox. Invited people receive an email with an invitation and a link to log in to InLoox. Previously, this could cause problems if the invitation email was lost or accidentally deleted, because a person could only be invited once. This risk no longer exists because invitations can now be resent. This way you can be sure that your contacts can join the platform and benefit from the advantages of effective project collaboration.

Administrators receive a notification when users are invited to the account

From now on, administrators will receive an email notification when new users are invited to the account. These notifications allow administrators to stay up to date with invitations in real time. They receive a message as soon as a new user is invited into the account, which gives them better control over access rights and project stakeholders. With this new feature, administrators can ensure that no unauthorized people gain access to projects and that collaboration is done in accordance with internal policies and guidelines.

Planned vs. tracked time for tasks

In the opened task, you can now see at a glance how much of your planned time (i.e. the estimated effort) has already been invested in completing the task. The prerequisite for this is the regular tracking of the time spent on the task. A ring diagram visualizes the progress: the blue part represents the time already booked, while the light gray area shows the remaining time. This gives you an immediate visual overview of the time frame still available to complete the task.

This new representation provides practical support in the context of time tracking. Keep track of the invested and remaining workload and optimize your project and task planning.

Multi-edit in task list & project list

Edit multiple tasks and projects even faster! If you have completed several tasks, you no longer have to check them off individually - simply select those tasks in the task list (with the Shift key held down) and select the action on the right-hand side that is to be performed collectively for all tasks.

Info The multi-edit function also works in the project list - here you can archive or delete the selected projects.

  
Reports: Download in different formats

In addition to the PDF document, you can now download reports as Excel workbooks, Word documents or CSV files. This flexibility allows you to save and further process the reports according to your individual requirements.

  
Sidepanel mindmap (InLoox for Windows & InLoox for Outlook)

With this release, the mind map in InLoox for Windows and InLoox for Outlook is again equipped with all features you know from the InLoox 10 version. So we have reached the "Feature Complete" status!
