InLoox AI Assistant

The InLoox AI Assistant helps you to quickly identify tasks in emails, generate project descriptions and suggests a list of tasks to plan out your projects. The InLoox AI Assistant is currently implemented in:

• Track functionality in InLoox Web App
• Project description in InLoox Web App
• Project tasks in InLoox Web App
• Turn emails into tasks functionality in InLoox for Outlook Modern Add-in

Requirements for the use of AI features in InLoox

The AI functionality is currently only available in the InLoox Cloud for Professional (limited usage) and Enterprise Editions. 

• Activation of AI assistance (default setting is active) - A requirement for using this feature is the activation of AI assistance for your InLoox account. This setting is activated by default. The person with InLoox administrator rights can disable it in the InLoox settings. For more information read the help article on the InLoox Privacy Settings.
• Connection with Microsoft 365/Office 365 account - A further requirement for using AI functionality in InLoox is the connection of your M365/O365 account with InLoox. Each user can establish this connection via their InLoox Profile Settings where they also need to activate permissions for data access. The InLoox AI functionality is provided by Microsoft's Azure Open AI service, with data centers located within the European Union. This ensures that your data is processed in compliance with strict European data protection guidelines. In addition to these safeguards, we have a special supplemental agreement with Microsoft that guarantees that the data you provide will not be recorded, nor used for model training. Azure Open AI processes your data only at the time of the request and does not store it permanently. Consequently, InLoox data is not used for model training and there is no permanent flow of your data into this model.

If you have authorized the connection with Office 365 and given the permission Read emails in your mailbox in your InLoox Profile Setting, you can generate InLoox tasks from email texts in Track.

1. In InLoox Web App, click on Track in the menu on the left. If you are not yet connected to your Office 365 account, do that now by clicking on Connect Microsoft Account.

   

2. Under the Inbox tab, select the email whose text you want the InLoox AI assistant to analyze and generate InLoox tasks from.
3. In the right column, select the project where you want to put the generated tasks. If you don't see the project, enter the project's name in the search field.
4. Now click Identify tasks. InLoox identifies the tasks, estimates the duration (effort) and also suggests a completion date.
5. Check the result and click Capture to place the task in the selected project.

Now you can click on the project's name and continue editing the generated tasks in the Edit task window.

When starting a project, the project description can roughly outline the goal, scope, time span and estimated budget. The InLoox AI Assistant can generate a project description based on the key points you prompt.

1. Either create a new project in InLoox Web App or open an existing project and click on the Manage tab.
2. Enter your key points in the Description field and click on the magic wand icon.
3. Then click on the Generate project description button. You can also leave the description field blank and let the AI Wizard create a description based on the project name alone.
4. If you are satisfied with the result, click on Append.
5. If you are not satisfied, you can either edit the text yourself or click on Replace so that the AI assistant creates a new description.

PLEASE NOTE This feature was made available with InLoox version 11.17 (March 2025) for the InLoox Enterprise Edition only.

After you have created a new project and entered the basic project information on the Manage page, go to Tasks.

1. Click on the AI-Assistant icon (magic wand) next to the New Task-button.
2. The InLoox Task Assistant opens. Enter your prompt in the field. E. g. describe your project and the project's goal and who the stakeholders are.
3. On the range picker, define how detailed the AI-assistant should break down the tasks. Low generates 5 tasks, Medium (stage 1) generates 10 tasks, Medium (stage 2) generates 15 tasks, High generates 20 tasks, Very high generates 25 tasks.
4. Click on Generate tasks and the assistant will go to work. The tasks will have names, planned efforts, and due dates. 
5. Once you have checked the generated tasks, select the tasks you want to use in your project and click Add Tasks.
6. If you are not satisfied with the results, either add more details to your prompt or adjust the level of detail with the range picker.

The InLoox AI assistant in InLoox for Outlook Modern Add-in can be used for emails that potentially contain several tasks.

1. To do this, first select the relevant email from which you would like to receive task suggestions.
2. Click on the button AI Assistant. You will then be given suggestions for possible tasks, including an estimated effort and a recommended due date.
3. To create a suggested task, click on the OK button next to it.
4. You will now find the task in the task list and can edit it with a click.
