IMPORTANT To access the InLoox settings, you need administrator rights for your InLoox account.

General information

The settings for working hours/calendars, days off and individual availabilities are necessary for the calculation of the workload and capacity for your InLoox account.

Set working hours

The working hours you define in the InLoox account apply globally to all persons who are available as resources in this InLoox account.

  1. In InLoox Web App, click on your profile picture in the bottom left corner.
  2. Click on Account settings.
  3. Click on Organization.
  4. Under the Working hours tab, you can enter the number in the One working day has (hours) field.

Set calendar

InLoox gives three calendars as default:

Standardkalender

  • 24/7 - The working days are Monday to Sunday, from 0:00 to 23:59 each day. This calendar cannot be deleted, but it can be edited and renamed.
  • Standard - The working days are Monday through Friday, each from 9:00 am to 5:00 pm. This calendar cannot be deleted, but it can be edited and renamed.
  • Weekend - The working days are Saturday to Sunday, each from 0:00 to 23:59. You can edit and delete this calendar.

To create another calendar, proceed as follows:

  1. Under the Working hours tab, click New under Calendar.
  2. Now assign a calendar name, e.g. 4-day week Berlin, for your team in Berlin and confirm by clicking Save.
  3. In the calendar, you now adjust the daily working times. You have two options here:
    - Either click on the top/bottom end of a blue bar and drag the working time to the desired time window (only half-hourly possible).
    - Or you can click on a blue bar to open a new Edit Working Time window. Here you can enter the working time to the minute.

    You can delete the working time for an entire day using the symbol with the paper garbage can.
  4. Set whether the calendar should be visible in Planning and in People by activating the respective slider.

IMPORTANT if the calendar should be assigned to persons, so that the resource overview can calculate the capacities of this person, the slider in Persons must be activated!

Days off: Create holidays per calendar

In InLoox Web App, click on your profile picture in the bottom left corner.

  1. Click on InLoox Settings and go to Organization.
  2. Click on Days Off.
  3. First select a calendar or a person. Simply start typing in the name of the calendar or person to find it more quickly.
  4. Then click Add Day Off to create a new day off, such as a holiday or company closed day.
  5. Edit all data fields.
  6. Check Use for all calendars if you want this holiday to apply to all calendars.

Import days off from Excel or iCalendar file

You can either import days off from an Excel file or import an iCalendar file.

IMPORTANT In order for this you work smoothly, make sure your Excel file/iCalendar file is formatted for the available columns: Name, Start (date and time), and End (date and time):

  • Make sure to have selected the right calendar before the import.
  • Make sure, the sheet is formatted as a table with headlines.
  • Make sure to follow the date/time format as defined for your InLoox account, e.g. US format (month/day/year) or European format (day.month.year).
  • Make sure to use 1 in the column "Use for all calendars" for days off that will be used across the all calendars in your InLoox account. Use 0 for individual days off.

Example for the formatting of an Excel sheet:

  1. If you are sure that you have met the above requirements, click Import/Export.
  2. Select the Excel file.
  3. InLoox opens the Map Excel Columns window. Check the mapping again. Then click Import.
  4. InLoox adds the non-working days. You can change the data.

The same procedure applies to .ics files.
