Question

How can the automations available in InLoox for MS365 and Exchange Online be connected in InLoox Self-Hosted?

Requirements

  • Ensure that InLoox Self-Hosted Server is installed in version 26.1 or higher.

Background/Answer

With version 26.1, InLoox introduced the following automations:

  • Automatic creation of project tasks from flagged emails
  • Automatic filing of emails from the same conversation
  • Updating the start and end date of a project task after a change in the Outlook calendar

These integrations use so called subscriptions. In this process, InLoox registers to receive automatic notifications for specific actions in Microsoft 365 or in Microsoft Graph or Exchange Online. Examples of such actions include:

  • A new email in the inbox
  • An email is flagged
  • A calendar entry is moved

After such an action, Microsoft servers automatically call a URL defined by InLoox. This informs the InLoox Server about the change and allows it to react accordingly.

Technical Requirements

The defined URL must be publicly accessible via the internet and secured with a publicly valid SSL certificate.

For this purpose, the web server on which InLoox is installed must be enabled through your firewall. Please contact your network administrator for this step. It is recommended to secure the server publication additionally by using a DMZ, a reverse proxy, or an application gateway.

IMPORTANTThe configuration of the network and firewall infrastructure is the responsibility of the customer. InLoox does not provide infrastructure support.

Limitations in Protected Network Environments

In professional corporate environments, web servers are typically located behind a firewall and are not publicly accessible from the internet. In this case, the automations described above cannot currently be used.

In this situation, disable the automations in Account Settings under Integrations. This will deactivate the automations and they will not be available to users.

Outlook

InLoox is already working on a solution for these scenarios. This solution will initially be tested in a closed beta phase.
