Distribution of User Licenses

In the InLoox settings, go to User Management. There, you can see how many user licenses are available for your account, how many have already been distributed and which type of license has been distributed to whom.

Here you can also revoke the assigned user license from persons and redistribute user licenses to others.

Types of InLoox licenses

The following types of licenses are available in every InLoox Edition:

Type of License Access Permissions Additional Information
Read-Only Person has reading permissions only. This license type is free of charge in all InLoox editions. If you have assigned all paid licenses of the "Read & Write" type, the "Read-Only" license type will be assigned to additional, invited persons. The reading permissions can be restricted via the permissions settings.
Read & Write Person may have reading and writing permissions. This license type is a paid license in all editions. This license type is automatically distributed to all invited persons if you have activated the "Automatic license distribution" feature for your InLoox account. Once all your purchased user licenses have been distributed, invited persons will receive "Read-Only" licenses.
No Access Person has no InLoox license and cannot access the InLoox account. People who no longer have access to the InLoox account are still listed as contacts and can be reassigned a "Read-Only" or a "Read & Write" license by the account administrator.

Automatic license distribution

If you activate the automatic license distribution, every person invited to your InLoox account will automatically receive a license as soon as the person accepts the invitation. This setting is practical if the number of purchased user licenses corresponds to the actual number InLoox users. It also helps you to avoid additional administrative work.

  1. In InLoox Web App, click on your profile picture in the bottom left corner.
  2. Click Account Settings.
  3. Click on User Management.
  4. Activate the slider next to Users will automatically receive a licence of type "Read & Write", if available.

Make sure that the person who should receive a license has also been invited to the InLoox account.

  1. To do so, click Back to InLoox Web App in the upper left corner.
  2. In the menu on the left, click People.
  3. If the person is in the list and marked with the key icon, the person has already received the invitation email. If the key icon is missing, click on the person to open the entry.
  4. You will see a light blue bar in the upper right corner. Click Invite to send the person the InLoox invitation email.
  5. If the person does not appear in the list at all, click New contact to enter the person's details and then invite the person.

Distribute user licenses manually

  1. In InLoox Web App, click your profile picture in the bottom left corner.
  2. Click Account Settings.
  3. Click User Management.
  4. In the search field on the right, enter the name of the person who should receive a user license and select the person from the drop-down menu.
  5. The person now appears in the list. Click on Read-Only or Read & Write. Now, the person has a user license.

If the person does not appear in the list, make sure that the person has received the InLoox invitation email.

  1. To do so, click Back to InLoox Web App in the upper left corner.
  2. In the menu on the left, click People.
  3. If the person is in the list and marked with the key icon, the person has already received the invitation email. If the key icon is missing, click on the person to open the entry.
  4. You will see a light blue bar in the upper right corner. Click Invite to send the person the InLoox invitation email.
  5. If the person does not appear in the list at all, click New contact to enter the person's details and then invite the person.

Remove a user license

  1. In InLoox Web App, click your profile picture in the bottom left corner.
  2. Click Account Settings
  3. Click User Management.
  4. In the search field on the right, enter the name of the person you want to get a user license and select the person from the drop-down menu.
  5. The person now appears in the list. Click No Access. Now you have removed the user license from the person.
